Introduction
The Individual Learner Account System & Certificate (ILASC) is an application developed by the university alliance ENGAGE.EU. It serves as the central repository for documenting all learner achievements within the alliance, acting as the memory core of the ENGAGE.EU learning journey. By consolidating various accomplishments, ILASC enables the creation of an individual learning account, supporting students throughout their educational pathway.
Currently, only a few features have been implemented, primarily focusing on staff tasks. However, the system will be gradually expanded over the next three years to include additional functionalities.
Features
How do I register an individual learner account?
The registration process is automatic when you first log in. As Single Sign-On (SSO) is used by your home university, there is no need for you as a learner or staff member to manually complete a separate registration.
The only requirement is that you have an active local account at one of the ENGAGE.EU member universities.
After your first login you will be asked to agree to the Data Policy. Please do so, as ILASC will not be able to process your personal data without your consent.
- Open your web browser and go to https://ilasc-qa.uni-mannheim.de/ilasc/login.php?cmd=force_login.
- Click on „Select University“ and choose your home university.
- Click on „Sign In“. The browser will take you to your home institution's login page.
- Please log in with your username and password and agree to submit the required attributes.
- After logging in, please agree to the privacy policy (GDPR requirement). You will then be taken to the main page of the system.
How do I log in?
By logging in, you will have access to various features of ILASC, such as viewing your learning activities or, as an ENGAGE.EU organisation administrator, uploading files. Without logging in, you can still access the „Course Catalogue“ and „ENGAGE.EU Eco“. Logging in is the same process as registering. However, you will no longer need to agree to the „Data Policy“.

How can I see all the courses available?
This feature provides learners with a user-friendly interface to access and view detailed information about all available courses, including descriptions, schedules and instructor details.
- Navigate to the „Course Catalogue“ page in the left-hand menu.
- You can view the list of all courses.
- Click the filter icon next to the search bar.
- The filter menu will expand and you can view and select the different filter options. Results will automatically appear after selection.
- Click on „Course Details“ to view more information about a specific course.
- A new browser tab will open. This will show you a detailed description of the course. It will include a short summary of what the course is about, the dates it runs and the number of credits you'll get.
- If you click on „Go to course page“, you will be taken to the website of the host institution. You can also apply for the course there.
How can I display my learning activities?
The feature „Learning Activity“ gives you a summary of your courses. It shows you which courses you are enrolled in, which courses you have completed and which courses you have unsuccessfully applied for. You can easily view the course details and check the status of your application.
- Make sure you are logged in to ILASC.
- Navigate to the „Learning Activity“ page in the left hand menu.
- The system displays a summary list of your learning activities.
- Select the learning activity you want to view from the list.
- You will be able to view detailed information about the selected learning activity.
How can I upload the course application status?
This feature allows organisation administrators to upload the results of course applications.
- Make sure you are logged into ILASC.
- Go to the „ENGAGE.EU Admin“ section in the left-hand menu. If you cannot see this page, please contact the ILASC Team so that they can give you the necessary permissions.
- The system will show you a list of available admin actions.
- Choose the option to upload the course application status. The system will then show you a page where you can upload the course application status.
- Click on „Select Files“ and the file finder will open.
- Choose the right application status file in CSV format.
- Click on the button that says „Upload“.
- Check that the result of the validation is correct.
- To save the file as an ILASC file, click on the file icon at the top of the validation table and then confirm to continue.
- You will be able to see that the operation was successful in the „Overview“ tab. The system will also send an email to the account owners informing them about their new status.
CSV file layout
You must use a CSV file to upload the course application status.
The file name must follow this format: „ENGAGEEU-HEI_ID-YYYYMMDD_HHMMSS.CSV“.
- The university identifier (HEI_ID) in the file name must be identical to the university identifier that is already stored in ILASC as course catalogue master data
- Example: ENGAGEEU-UMA-20241112_123433.CSV
