  2. Description and extent of data processing

    When you register for the Trifels Summer School 2022, the personal information you enter into the online registration form will be stored on our webserver and local servers. This includes your first and last name(s), email address, your home institution (university or research institution), your career level (doctoral student or postdoctoral researcher), area of research, the date and time of registration, your ORCID iD and the short statement of your motivation to participate.

    Personal data are processed in order to carry out your application and confirm your registration for the event and to organize and conduct the event, including any directly related follow-up work: Data marked as mandatory are required in order to conclude the application and registration. The registration for and participation in the event are not possible without the mandatory data.

  3. Purpose of data processing
    The data you provide in the online registration form will be processed for the purpose of the participant selection and registration into the summer school. Your email address will be used for the purpose of contacting you.
  4. Legal basis for the processing of personal data
    For carrying out and confirming the registration and for organizing and conducting the event, including directly related follow-up work: Art. 6 paragraph 1(e) in conjunction with Art. 6 paragraph 3 of the General Data Protection Regulation (GDPR) in conjunction with section 4 of the Data Protection Act of the Land of Baden-Württemberg (LDSG BW).
    – Voluntary information: Art. 6 paragraph 1(a) GDPR.
  5. Recipients
    • The data you provide in the online registration form will not be forwarded.
    • The data you provide in the online registration form is not passed on to third parties outside the university unless there is a statutory or legal obligation to disclose the data.
  6. Deletion of data and storage period

    Your registration data will be deleted from our webserver one day after the registration deadline has ended and from our local servers at the latest after one month after the participant selection is completed. The date and time of registration will be deleted once the purpose for which they have been collected ceases to apply, in this case one day after the registration deadline.

    Only if you have been selected as a participant of the summer school, these data will be further processed: Your first and last name(s) and your email address will be used to contact you. Your home institution (university or research institution), your career level (doctoral student or postdoctoral researcher), area of research, the date and time of registration, your ORCID iD and the short statement of your motivation to participate will be deleted after one month after the selection process has ended.

  7.  Your rights
    • In accordance with article 15 GDPR, you have the right to request information from the University of Mannheim about any data it stores that is related to your person and/or to have incorrect data corrected as per article 16 GDPR.
    • You also have the right to demand that your data be deleted (article 17 GDPR), that the processing and use thereof be restricted (article 18 GDPR), as well as to object to the processing and use of your data (article 21 GDPR), unless legal requirements stipulate otherwise.
    • You also have the right to file a complaint with the regulating authority if you believe that the processing and use of your personal data is in violation of the law (article 77 GDPR). The responsible contact person at the regulating authority is the Landesbeauftragter für den Datenschutz und die Informationsfreiheit Baden-Württemberg (state commissioner for data protection and the freedom of information Baden-Württemberg).
  8. Information on your right to object according to art. 21 para. 1 GDPR
    You have the right to oppose for legitimate reasons the treatment of your personal data that was collected according to Art. 6 paragraph 1(e) and Art. 6 paragraph 3 of the European Union's General Data Protection Regulation (GDPR) (data processing in the public interest).
