Conference and meeting rooms belonging to the administration and academic departments
The Lecture Theatre Technology department is responsible for the provision, upkeep, maintenance and modernisation of the media technology in our lecture theatres (and seminar rooms). The relevant departments and chairs are themselves responsible for conference and meeting rooms used by the administration or academic departments, as well as for offices and rooms equipped with specialised technology (e.g. therapy rooms with video recording facilities).
For the following reasons, please consult the Lecture Theatre Technology team regarding such installations:
- Standardisation of installations with the aim of simplifying service, upkeep, maintenance and operational support.
- The use of identical equipment models reduces the number of spare units required and is more cost-effective. Faulty equipment can therefore be replaced very quickly, leading to reduced downtime and improved availability of the technology.
- Use of standardised operating concepts and user interfaces across the university (labelling on button control panels, graphical interfaces and menu navigation on touchscreens), as well as standardised operating instructions.
- Integration of all devices into the relevant management tools. For example, all projectors are monitored via the network, switched off centrally in the evening and, in the event of a fault, the devices automatically send an email notification.
The nature and scope of the advice and assistance provided depend on the purpose and scale of the specific installation, as well as the institution responsible. This may include the following:
- Guidance on the selection of the various audiovisual components, manufacturers and specific products.
- Referral to external companies/
design consultancies for the provision of any necessary external design services. - Recommendation of competent system integrators (suppliers) who have already carried out high-quality audiovisual installations at the University of Mannheim.
- Review of the quotations obtained by the departments from the system integrators, comparison of these, and, where necessary, clarification of queries with these suppliers.
- The Lecture Theatre Technology Department acts as the point of contact for enquiries from specialist firms during the planning and installation phases.
- Coordination with the Network Technology Department regarding the use of network-compatible components.
The actual procurement process (ordering via SRM, tendering where necessary, inventory management, recording of goods received and verification of invoices) must in all cases be carried out by the relevant department itself.
