Here you will find answers to frequently asked questions to help you prepare for your stay at the University of Mannheim Guesthouse.
Who can stay at the guesthouse?
The guest house is available to the following groups of people:
- Visiting scholars (including those from external institutions)
- Professors
- Visiting doctoral students at the University of Mannheim
How far in advance should I book an apartment?
Please book and confirm the apartment offer as soon as possible to ensure availability.
Is the guesthouse open year-round?
The guesthouse is open year-round. However, the guesthouse administration is only available during regular office hours and is closed on public holidays.
How do I book an apartment?
To book an apartment, your host department or chair must submit the registration form to register you in our system. Once you are registered, you will receive an apartment offer.
Note: Booking requests from private individuals cannot be considered.What are the cancellation policies?
- Free cancellation up to 14 days before arrival
- Last-minute cancellations (less than 14 days before arrival): 20% of the monthly base rent will be charged
What is the minimum rental period?
The minimum stay is 14 days. For shorter stays, the price for 14 days will still be charged.
Do I have to pay a security deposit?
A security deposit is required for stays of up to two months.
Note: The security deposit will be refunded in full after your departure, provided there is no damage to the apartment and all formalities have been completed.Is there parking available?
You have several options:
Resident parking permit from the City of Mannheim (no designated parking space)
Parking space in an underground garage (fee required, reserved space)

Are pets allowed?
Pets are not allowed. No exceptions can be made.

Are there barrier-free apartments?
Currently, we do not have any entirely barrier-free apartments available. However, please feel free to let us know what type of apartment or amenities you need. We may have a suitable apartment for you.
Are there any bike or public transportation options nearby?
The guesthouse is very well located and can be reached by all common modes of transportation.

You can pick up the keys to your apartment at the reception desk (open 24/
7) at the university's main entrance. After moving in, please confirm your arrival by email: guesthouseuni-mannheim.de
Is there a front desk or 24/
7 service? The guesthouse administration is only available during regular business hours.
You can report routine matters in person or by email.

What should you do if there are defects or damage in the apartment?

When is the rent due?
You will receive the bill when you move in. Payment is due immediately (including the security deposit).
When will I get my security deposit back?
You will receive your security deposit after:
- Submitting the completed security deposit refund form.
- The final inspection and assessment of the apartment's condition.
- You will usually receive it between two and four weeks after you move out.
What are my options for paying rent?
You can pay the monthly rent via online banking or in cash at the local Sparkasse bank.
If you pay in cash, the accounting department will provide you with a deposit receipt.
Is a cleaning service included in the rent, or do tenants have to clean the apartment themselves?
During your stay, your entire apartment will not be cleaned. The bathroom and floors will be cleaned every two weeks. You are responsible for keeping your living area tidy and cleaning up any messes you make.
Will I be provided with bed linens and towels, and are there washing machines on site?
You will be provided with:
- Bedding (changed every 3 weeks; bedding is changed on Wednesdays at 10 a.m.)
- Towels
- Cleaning wipes
You can use the washing machines in the laundry room in the basement (L2). To do so, you will need an ecUM card. You can apply for one yourself after your arrival, or we can provide one to you upon request.
Can I extend my stay?
As a general rule, it is not possible to extend your stay on short notice, as our apartments are often fully booked several months in advance.
In exceptional cases and when there is an urgent need, however, we can try to offer an extension or find a vacant apartment for you. We cannot, however, guarantee that an apartment will be available at the desired time. Thank you for your understanding.
Can I terminate the lease early?
Yes, but:
- You must notify us well in advance
- A refund is only possible if you notify us 14 days in advance
What amenities are included in the apartments? How can I request additional items, such as a guest bed? Are there any additional costs for this?
The apartments are fully equipped.
Additional amenities (e.g., a crib) are available upon request and for a fee. Guest beds are only available for two-bedroom apartments.
