Below you will find information on the personal data we process, the purposes of processing, the legal bases for such processing, the retention periods, potential recipients of the data, and the rights available to you as a data subject.

Purpose of data processing and consequences of non-disclosure

The University of Mannheim collects and processes your personal data in order to process applications for the FAiR@UMA (Family Assistance in Research) program, to approve the funding for student assistants and make the student assistants' services available.

Indicating and processing of this data under no. I is necessary in order to be able to apply for funding. Processing of the additional data under no. II. is necessary in order for the funds to be made available.
Without this information, it is not possible to approve and use the funds for the student assistants.
 

Categories of data

I. Application for funding for student/research assistants

The data provided in the application form will be processed.

In addition to the information explicitly entered in the form, technical data and information about the system of the accessing computer are automatically collected when the website is accessed. For further details, please refer to the University of Mannheim’s general data protection statement (available at: https://www.uni-mannheim.de/datenschutzerklaerung/).

II. Data processed only if the application is approved

  • Proof of eligibility for student assistant funding (at least one of the following must be provided):
    • Presence of at least one child under the age of 12
    • Care for a dependent relative
  • Proof of at least one child under the age of 12:
    • Birth certificate in the required (redacted) form
  • Proof of care for a dependent relative:
    • Certification issued by the long-term care insurance fund or the medical service of the health insurance provider (Medizinischer Dienst der Krankenversicherung, MDK), in the required (redacted) form

Legal basis

Processing of your data in the context of the application, for the purpose of verifying your eligibility for funding and for documenting the use of the funds, is based on your consent in accordance with Art. 6 subsection1 letter a GDPR.

If the funding application is approved and the funds are used, the University of Mannheim is required to provide proof of the proper use of these funds. This processing is carried out on the basis of Article 6 subsection 1 letter c and subsection 3 GDPR in conjunction with sections 70 and 75 of the Landeshaushaltsordnung (LHO).

Furthermore, if the application is approved and the funds are used, the University of Mannheim is obliged to provide evidence of the use of these funds to the funding provider, the Federal Ministry of Research, Technology and Space (BMFTR). This data transfer is carried out in accordance with Article 6 subsection 1 letter c and subsection 3 GDPR in conjunction with section 4 of the ancillary provisions for grants on an expenditure basis issued by the Federal Ministry of Education and Research (NABF), pursuant to section 36 of the Administrative Procedures Act (Verwaltungsverfahrensgesetz, VwVfG).
 

Recipients or categories of recipients

Data on payments made is transmitted to Division IV. This includes the first and last names of the payees, as well as the data provided in the application, including the submitted proofs demonstrating the existence of circumstances entitling the recipient to receive funding.

In addition, the following data relating to the use of funds is transmitted to the funding provider, the Federal Ministry of Research, Technology and Space (BMFTR), Kapelle-Ufer 1, 10117 Berlin (formerly the Federal Ministry of Education and Research): the recipient’s first and last name, the date of payment, the payee/payer, as well as the purpose and individual amount of each payment.
 

Transfer to a third country

No transfer of data to third countries takes place.

Retention periods

The data of unsuccessful applicants will be deleted 16 months after the end of the application period.

Data transmitted to Division IV in connection with payments will be retained for a period of 10 years.

All other personal data will be deleted immediately upon receipt of a withdrawal of consent, unless another legal basis for continued storage applies. Data relating to your consent will be retained for 30 years.
 

Data subject rights

You have the right:

  • to request information about your personal data processed by us in accordance with Article 15 GDPR,
  • to request the correction of incorrect or incomplete personal data stored by us without delay in accordance with Article 16 GDPR,
  • to request deletion of your personal data stored by us in accordance with Article 17 GDPR,
  • to request the restriction of the processing of your personal data in accordance with Article 18 GDPR,
  • to receive your personal data that you have provided to us in a structured, common, and machine-readable format or to request the transfer to another controller in accordance with Article 20 GDPR.
  • Where consent has been given, you have the right to withdraw your consent to data processing at any time and without having to state any reasons. However, the withdrawal of consent does not affect the lawfulness of processing based on consent before its withdrawal.

  • You have the right to file a complaint with a supervisory authority in accordance with Article 77 GDPR. The supervisory authority responsible is the commissioner for data protection and freedom of information of Baden-Württemberg (Landesbeauftragter für den Datenschutz und die Informationsfreiheit Baden-Württemberg).

Automated decision-making including profiling

There is no exclusively automated decision-making within the meaning of Article 22 subsection 1 GDPR.

Information on exercising your rights

Please note that it may not always be possible or permissible to fully comply with your requests to exercise your rights. For example, requests for erasure, objections, or withdrawals of consent cannot be fulfilled where statutory retention obligations apply.

Any further processing of the data transmitted to the funding provider, the Federal Ministry of Research, Technology and Space (BMFTR), is the responsibility of the BMFTR. To exercise your data subject rights with regard to the transmitted data, please contact the BMFTR directly.
