Data protection declaration for the YouTube account of the University of Mannheim
For the video platform offered here, the University of Mannheim uses the technical platform and services of YouTube LLC, 901 Cherry Ave, San Bruno, CA 94066, USA. 1. Data processed by YouTube

When you use YouTube, your personal data is collected, transferred, stored, disclosed, and used by YouTube LLC and, regardless of your place of residence, transferred to the United States, Ireland, and any other country in which YouTube LLC does business, where it is stored and used.
YouTube processes your voluntarily entered data such as name and user name, e-mail address, and telephone number.
YouTube also evaluates the content you share to determine what topics you are interested in, stores and processes confidential messages that you send directly to other users, and can determine your location based on GPS data, information about wireless networks, or your IP address to send you advertising or other content.
YouTube LLC may use analysis tools such as Google Analytics for evaluation purposes. The University of Mannheim has no influence on the use of such tools by YouTube LLC and has not been informed of any such potential use. Should tools of this kind be used by YouTube for the University of Mannheim's account, the University of Mannheim has neither commissioned nor approved this, nor does it support it in any other way. Furthermore, the personal data obtained during the analysis will not be made available to the University of Mannheim. The University of Mannheim can only view certain non-personal information about YouTube activity, such as the reach of a video, on its account. Furthermore, the University of Mannheim has no way of preventing or stopping the use of such tools on its YouTube account.
Finally, YouTube also receives information when you view content, even if you have not created an account. This “log data” may include your IP address, browser type, operating system, information about the website you previously visited and the pages you visited, your location, your mobile phone provider, the device you used (including device ID and application ID), the search terms you used, and cookie information.
Through YouTube buttons or widgets embedded in websites and the use of cookies, YouTube is able to track your visits to these websites and associate them with your YouTube profile. This data can be used to tailor content or advertising to you.
Due to the fact that YouTube LLC. is a non-European provider, it is not bound by German data protection regulations according to its own interpretation. This concerns, for example, your right of access as well as your right to have your data blocked or erased or the possibility to object to the use of usage data for advertising purposes.
You can restrict the processing of your data in the general settings under history and data protection. In addition, you can restrict YouTube's access to contact and calendar data, photos, location data, etc. in the settings options on mobile devices (smartphones, tablet computers). However, this depends on the operating system used.

2. Data processed by the University of Mannheim
The University of Mannheim also processes your data. The University of Mannheim does not collect any data via its YouTube account or on your YouTube use. However, we process the data you enter on YouTube, in particular your user name and the content published under your account, to the extent that we may share your videos on our account after prior consultation. This may be the case, for example, if you work as a researcher and/or employee at the University of Mannheim or external research institutions and have produced a thematically relevant video as part of your work. For generations, the University of Mannheim has been preparing students to take on leadership roles in business, academia, and society. One of the university’s strengths in this task is its profile, which is characterized by the economic and social sciences In these two fields of research, the University of Mannheim has been ranked among the 20 best research universities in Europe for years.
As a public institution, the University of Mannheim sees the regular provision of information to the public about research, studies, teaching and university events as an important task.
The use of social media channels is therefore part of the University of Mannheim's public relations work and also takes place via YouTube. With this utilization plan, the University of Mannheim is assuming its responsibility and role model function for using social media as a public body requested by the commissioner for data protection and freedom of information of Baden-Württemberg. 1. YouTube
YouTube is an online platform for publishing and distributing videos. Registered users can publish videos free of charge via this service. These videos are usually provided in such a way that they are publicly visible. Alternatively, it is possible to make videos accessible only to a certain group of people (“Private”) or only via a URL (“Not listed”). In the latter variant, the video does not appear publicly in the channel's video list, but is only accessible via a link that the channel operators make available to specific people, e.g. by e-mail.YouTube, LLC, is a subsidiary of Google, LLC. A Google account is required to register with YouTube.
Registered YouTube users can follow other YouTube users, evaluate their videos and share the videos within YouTube as well as on other online platforms and websites. It is also possible to view video clips without a user account.

The advantages of XING are its wide reach and—unlike some other social networks—that the videos can be used without the need for users to register. YouTube is one of the most widely used search engines in the world.
Another advantage is the usability without using a clear name for users with their own YouTube account.
2. Purpose of use
Creating a YouTube channel is a useful addition to the University of Mannheim's existing public communication channels, such as the website, press releases, print media, and information events. The importance of videos for passing on information has increased significantly over the last ten years. The YouTube channel informs users with videos primarily about research, studies and events.For some target groups, the existing instruments are no longer sufficient. We have found that we can reach prospective students and students much more directly via YouTube, especially since interested recipients can simply subscribe to our channel. The YouTube channel enables a broad dissemination of our range of courses, our research topics and special events on campus.
Furthermore, direct dialogue with students, academics and the interested public enables us to obtain opinions and valuable feedback in order to optimize the performance of our tasks.
Through the use of YouTube, the public should be able to participate even better in university events.
3. Type and scope of use
The YouTube account informs users about current topics from research and studies at the University of Mannheim and partner research institutions.The video contributions are produced by the central video editorial team and other decentralized institutions at the University of Mannheim and approved by the Marketing department before being published on YouTube.
The video content includes:
- presentation of programs and research topics
- reporting on events, e.g., with prominent speakers
- presentation of student life
In addition to its own contributions, the University of Mannheim will also share video content from other research institutions and projects if there is a connection to the University of Mannheim.
However, specific administrative services such as individual advice are not offered via YouTube. In such cases, inquiries are referred to the relevant departments at the University of Mannheim via the usual communication channels by telephone or email.

According to the general regulation in Art. 35 paragraph 1 of the European General Data Protection Regulation, a data protection impact assessment must be carried out if a form of processing, in particular using new technologies, is likely to result in a high risk to the rights and freedoms of natural persons due to the nature, scope, context, and purposes of the processing.
The YouTube services of the University of Mannheim itself do not have this impact due to the very small scope of the related data processing (cf. in this respect the Data protection information for YouTube of the University of Mannheim). However, YouTube videos often have a direct personal reference. When creating and publishing its own content, the University of Mannheim therefore ensures that the image rights of those depicted are taken into account in addition to the copyright of the photos.
However, from the perspective of the University of Mannheim, the use of YouTube itself represents a high risk due to its far-reaching impact with regard to the evaluation of data by YouTube LLC and Google LLC for advertising purposes and the like, for which a data protection impact assessment must be carried out.
By using a YouTube account, the respective user places themselves under systematic observation by YouTube LLC. This may also reveal sensitive data such as political views, sexual orientation, or health problems, which can be linked and used to create a personality profile. Persons requiring special protection, such as minors, may also be YouTube users and thus data subjects. Even when merely passively using YouTube without an account of one's own, sensitive data may be collected through the collection of log data, such as the websites previously visited or the location data of the user.
This applies all the more as YouTube LLC cannot be checked or can only be checked to a limited extent. As the data of users based in Germany may be processed outside Germany, there are higher hurdles to accessing (judicial) legal protection than with a company based in Germany.
1. Risk identification
The risks described at the beginning, which are associated with the use of YouTube, generally exist independently of the University of Mannheim's own YouTube use. In the vast majority of cases, the video postings of the University of Mannheim do not refer to sensitive personal data, but instead disseminate factual content.Finally, the data processed through interaction with the University of Mannheim's YouTube account or other accounts – namely videos and/

“more specific” public, the data are made available and may thus attract greater attention and wider dissemination than without this interaction. The fact that the University of Mannheim follows other YouTube channels, or that other YouTube channel follow the University of Mannheim’s account, also creates additional cross-connections and information about the respective YouTube user; for example, interest in research topics can be seen from the subscription status or regular contributions.
Finally, log data is also collected by YouTube when the site is used passively.
By using YouTube itself, the University of Mannheim increases the amount of data that is used and analyzed by YouTube LLC and Google LLC.
2. Risk assessment
The expansion of the dissemination circle and the increase in linking options facilitates the processing of data for other purposes by YouTube LLC or Google LLC and secret profiling. Openness to visitor contributions can also lead to negative social consequences such as inappropriate or discriminatory comments or the dissemination of sensitive data.While these damages may be significant if caused by YouTube LLC or Google LLC itself, they are only increased to a limited extent by the YouTube account of the University of Mannheim . This is because a substantial part of the data is already available to YouTube LLC. In particular, the services of the University of Mannheim do not lead to an obligation to create a YouTube account, as there are sufficient alternative contact and information options for the University of Mannheim.
Also, the topics of science, teaching, research etc. are only suitable for triggering hateful debates to a limited extent, so that the probability of damage occurring is very limited.
3. Risk assessment
Overall, the additional risk caused by the YouTube account of the University of Mannheim can therefore be classified as low to medium.It is also possible to implement remedial measures that further reduce the risk. This includes, for example, the influence of the University of Mannheim on providers. The majority of these measures are within the sphere of the user: For example, there is no obligation to use a clear name when using YouTube. Users can also protect themselves to a certain extent by making various settings, such as deleting their browser history and deactivating cookies.
In addition, continuous editorial support enables us to intervene in the event of comments that are defamatory or offensive up to and including blocking the account.
