Information on Data Protection in Accordance with the GDPR

This information applies to data processing in connection with participation in and implementation of the Guest Student and Senior Citizen Program as well as to the sending of e-mails by the University of Mannheim to students' private e-mail addresses.

Type of personal data and data processing

Your personal master data and contact details are collected and processed exclusively for administrative and organizational purposes.

Purpose and consequences of not providing personal data

  1. It is not possible to register for, participate in or complete the Guest Student and Senior Citizen Program without providing mandatory information.
  2. Providing the private e-mail address so that the participant of the Guest Student and Senior Citizen Program can be contacted by the University of Mannheim is voluntary and the consent can be revoked at any time. You will not suffer any disadvantages if you do not provide this information or if you withdraw your consent.

Legal basis

  1. Application for admission, participation in and implementation of the Guest Student and Senior Citizen Program: Art. 6 para. 1 lit. e. in conjunction with para. 3 GDPR in conjunction with sections 12, 64 act on the higher education institutions in the Land of Baden-Württemberg (Landeshochschulgesetz (LHG)) in conjunction with section 3 subsection 2 of the act on the statistics for higher education institutions (Gesetz über die Statistik für das Hochschulwesen sowie für die Berufsakademien (HStatG)), Art. 6 para. 1 lit. c GDPR in conjunction with sections 70, 75  state budget regulation of Baden-Württemberg (Landeshaushaltsordnung).
  2. E-mail communication via the private e-mail address after having given consent: Art. 6 para. 1 lit. a GDPR

Recipients

Internal recipients: Department IV for billing purposes, Info Center for issuing the ecUM, event managers for the implementing the event

Duration of storage

The data of participants in the Guest Students and Senior Citizen Program will be deleted at the latest after the end of the semester in which the person concerned was admitted, unless the data is required for other administrative purposes. An exception to this is the processing of the private e-mail address. The e-mail address will be deleted if consent is revoked or if e-mails are permanently undeliverable.

In addition, documents must be offered to the university archive in accordance with archiving regulations before the documents are deleted. The archive decides whether to accept the documents. If necessary, the documents will be taken over by the responsible university archive and generally stored there indefinitely.

Your rights

  • You have the right to receive information from the University of Mannheim about the data stored about you and/or to have incorrectly stored data corrected.
  • In addition, you have the right to erasure or restriction of processing or the right to object to processing.
  • You have the right to receive your personal data, which you have provided to us with your consent, in a structured, commonly used and machine-readable format or to request that it be transmitted to another controller.
  • In the case of consent, you have the right to withdraw your consent at any time, without affecting the lawfulness of processing based on consent before its withdrawal.

  • You have the right to lodge a complaint with the supervisory authority if you believe that the processing of personal data concerning you is in breach of the law.

The competent supervisory authority is the commissioner for data protection and freedom of information of Baden-Württemberg (Landes­beauftragte für den Datenschutz und die Informations­freiheit Baden-Württemberg).

Information about your right to object pursuant to Art. 21 para. 1 GDPR

You have the right to object, on grounds relating to your particular situation, at any time to processing of personal data concerning you which is based on point (e) of Art. para. 1 GDPR (data processing in the public interest).
