2. Legal basis

  • Art. 6 subsection 1 letter e in conjunction with subsection 3 of the EU General Data Protection Regulation (GDPR) in conjunction with section 12 of the act on the higher education institutions in the Land of Baden-Württemberg (Landeshochschulgesetz, LHG) from 1 January 2005 (Law Gazette (Gesetzesblatt (GBl.)) p. 1) last amended by article 1 of the LHG at 13 March 2018 (GBl. p. 85) and the directive of the Ministry of Science and Research on the collection and processing of personal data of prospective students, students and exam candidates for administrative purposes in accordance with the data protection act for higher education institutions of Baden-Württemberg (Hochschul-Datenschutzverordnung, HSchulDSV) from 28 August 1992 (GBl. p. 667) last amended by article 2 of the HSchulDSV at 14 May 2019 (GBl. p. 225),
  • act on statistics for higher education (HStatG) from 2 November 1990 (Federal Law Gazette (Bundesgesetzblatt (BGBl)) I p. 2414), last amended by article 3 from 7 December 2016 (BGBI. I p. 2826),
  • data protection act of the Land of Baden-Württemberg (Landesdatenschutzgesetz, LDSG) from 12 June 2018 (GBI. p. 173) and
  • section 4 of the act on student health insurance (Studentenkrankversicherungs-Meldeverordnung, SKV-MV) from 27 March 1996 (BGBI. I p. 568) last amended by article 20 at 11 November 2016 (BGBl. I p. 2500).

3. Purpose of data processing

The data provided in the application will be processed to fulfill the legal duties of the university, in particular in the area of student affairs and teaching. The information is required for admission.

4. Recipients of Personal Data

  • Transfer of data within the university: Division I (Research and Career Paths in Academia), Division II (Student Affairs, only if you enroll),
  • Transfer of data to third parties: If permitted by law, personal data may be transferred to third parties, in particular to other universities, statutory health insurance providers and institutions tasked with matters regarding federal student aid (BAföG).

5. Duration of storage

As a rule, all data are stored until disenrollment or until you have completed the examination process and deleted afterwards. This does not apply to the following data that is blocked after disenrollment or after completion of the examination process and stored for 40 years according to section 12 of the HSchulDSV.

  • Last name, first name, name at birth, date of birth, place of birth, sex,
  • degree program, student ID number,
  • practice-oriented semester, academic leave of absence or other interruptions of the program
  • results and date of the preliminary Diplom-examination or intermediate exam,
  • results and date of the final examination with the final grade and the individual grades that make up the final grade.
  • date of enrollment and disenrollment as well as disenrollment reason.

6. Your rights

  • You have the right to obtain information about your personal data stored by the University of Mannheim according to Art. 15 of the GDPR and the right to have false data rectified according to Art. 16 GDPR.
  • You have the right to erasure according to Art. 17 GDPR, to restriction of processing (Art. 18 GDPR) and the right to object processing (Art. 21 GDPR), provided this is not prohibited by any legal regulations.
  • In order to exercise your rights, please contact the school/department responsible for your doctorate.
  • Furthermore, you have the right to lodge a complaint with the supervisory authority if you are of the opinion that the processing of your personal data is not in compliance with data protection regulations (Art. 77 GDPR).

7. Information on your right to object in accordance with Art. 21 paragraph 1 of the GDPR

On grounds relating to your particular situation, you have the right to object to the processing of your personal data according to Art. 6 subsection 1 letter e GDPR (data processing in the public interest) at any time.
