Roles and Permissions

Overview

The platform distinguishes between two primary user roles: Learners and Managing Staff. Access to features and functionalities depends on the assigned role.

1. Learners

All users are assigned the Learner role by default upon registration. This group includes both students and staff members who participate in programmes. Users with external accounts are also designated as Learners; they are able to apply to programmes that are open to non-ENGAGE.EU members.

Learners can:

  • Browse available ENGAGE.EU programmes
  • Submit applications to programmes
  • Track the status of their applications
  • Manage their personal profile and application information

2. Managing Staff

Managing Staff are staff members responsible for administering ENGAGE.EU short programmes.

In addition to all Learner permissions, Managing Staff can:

  • Access ENGAGE.EU administrative features
  • Review and manage programme applications
  • Support the selection and administration processes

During the application process, Managing Staff may take on different functional roles depending on their institutional context:

Functional RoleDescription
Sending StaffStaff members affiliated with an institution that nominates or sends applicants to programmes hosted by another institution
Receiving StaffStaff members affiliated with an institution that hosts a programme and is responsible for reviewing and processing incoming applications

3. Role Assignment

By default, every user is recognised as a Learner.

Staff members who require administrative access must be granted the Managing Staff role.

Note: To request this access, staff members should contact the eJourney team, who are responsible for assigning Managing Staff permissions.
